How to Clock InTOP
All employees can clock in using either Rxpos Client or using printed time clock QR image.
- Using Rxpos Client
Station
- By Entering Employee ID - Enter employee ID.
- By Scanning Barcode - Scan barcode image from card.
- Using QR Image
- Scan QR image printed from any Rxpos client using your mobile phone.
How to Print QR Time CardTOP
- Log in to the system with manager's ID as you see the image above. Touch any gray area. [Floor Command Bar] will be displayed.
- Go to [Manager] - [QR Time Clock].
Only client station with attached POS printer can print QR Time Clock.
How to Open ShiftTOP
Manager, cashier, or server can open a new shift. In general, cashier opens a new shift.
- Touch gray area. [Floor Command] will be displayed.
- Go to [Cashier] - [Open New Shift].
The [Main Station], assigned by manager, will open store-wise shift first. Then all other Rxpos Client stations can open a shift for the target station.
- All other stations cannot open a new shift if the [Main Station] did not open a new shift
The [Main Staion] will close store-wise shift after all Rxpos Client stations closed each station's shift.
- If any station other than the [Main Staion] did not close shift, [Main Station] cannot close shift.
You do not have to worry about which station to open or close first. Rxpos will guide end users on each shift action on [Main Station].
When manager, server, or cashier tries to clock in using 'Rxpos Client' station (not QR), system will ask 'Do you want to open a new shift?,' if shift is closed at the time of clock in. So, this is basically a 'care free' system. You don't even need this information of 'How to Open Shift' at all. We are just providing this information for reference purpose.
How to Close ShiftTOP
Manager, cashier, or server can close shift. In general, cashier closes shift.
- Touch gray area. [Floor Command Bar] will be displayed.
- Go to [Cashier] - [Close Shift] or [Close Day].
Any open tables do not need to be settled before shift close. Any Rxpos Client station (other than Main Station), can close shift any time.
Only the Main Station (assigned by manager) can close Day Close.
Before main station's day close, all other station must be closed any shift, so the main staion can print day close report.
This is carefree. If there are any open shift from any station, there is no way the [Main Station] can close shift, and [Main Station] will ask end users to close any open shift from other stations.
On Day Close, shift will be closed first, and day will be closed.
How to Print Guest CheckTOP
Touch printer image on idle screen as you see below. All open tables will be displayed. Select target table to print guest check.
How to Add GratuityTOP
Manager, cashier, and servers can add or remove gratuity from the target table. Using your employee ID, go to the target table, click [Gratuity]. [Gratuity] button is 'toggle' system. If the target check does not have gratuity applied, system will add gratuity (% set by manager). If the target check does have gratuity applied already, system will remove gratuity.
How to Discount Guest CheckTOP
Only manager can discount guest check. You can assign any employee as manager.
Using manager's ID, go to the target table. Click [Discount] button. Discount category option window will be displayed as below.
Select discount option. Employee and FD/PD discount rates will be set using [System] - [Environment]. By Percentage will display number pad for asking % rate to discount.
How to Send Employee Order Page LinkTOP
Make sure the employee's phone is connected to Wi-Fi. Click gray area to pull down Floor Command Bar. Click [Server] - [Intranet Info]. Once QR image is loaded scan using employee's phone. Save the login page to the phone's home screen first. Using employee's ID, log in to the RXPOS intranet.
How to Split Guest CheckTOP
Using any Rxpos client station, select Section - Table. Table with seats will be displayed as below.
Click table. Select color and select target seat. Seat's color will be updated. Now a new guest check is created. To verify, click each seat. Only orders belong to the target seat will be displayed.
How to Combine Guest ChecksTOP
Using any Rxpos client station, select Section - Table. Table with seats will be displayed as below.
Click table. Select color and select target seat. Use the same color to another target seat. Now you just combined guest checks.
How to Transfer Item to Another SeatTOP
Using any Rxpos client station, select Section - Table. Table with seats will be displayed as below.
- Click [Transfer] button.
- Click target [Item] from the left pane.
- Click target [Seat].
Now you just transferred item to another seat.
How to Transfer Table to Another ServerTOP
Using any Rxpos client station, select Section - Table. Table with seats will be displayed as below.
Only manager and table owner can transfer table to another server.
- Click [Transfer] button.
- Click [Table]. Option window to transfer Table will be displayed as below.
- Click [Server]. All working servers' names will be displayed. Select target server to assign this table.
How to Transfer Table to Another TableTOP
Using any Rxpos client station, select Section - Table. Table with seats will be displayed as below.
- Click [Transfer] button.
- Click [Table]. Option window to transfer Table will be displayed as below.
- Click [Table]. All tables will be displayed. Select target table to transfer this table's order.
How to Accept PaymentTOP
Servers can activate Square Terminal using mobile device. Scanning guest check can also activate Square Terminal.

How to Create CouponTOP
Using manager's ID, go to [Floor Command] - [System] - [System Environment]. From Environment Form, click Coupon tab.
Set coupon rates, and copy and paste html coupon link to your website. When customer clicks the coupon link on your web site, customer will be redirected to Rxpos Coupon page. Customer will enter customer's email link to receive coupon in QR image.
How to Accept CouponTOP
Customer will present coupon QR image using his or her phone device as below.
By phone or mobile device. Just scan QR image. Employee will be redirected to the Rxpos Coupon Apply page as below. Enter employee ID, GID, and table number to apply coupon.
By client station. Go to the [Section] - [Table], and click [Settle] button. Click [Coupon]. Number pad will be displayed. Scan QR image using your scanner. In this case, you need 3D scanner. 3D scanner is able to scan both barcode and QR image. Coupon will be applied to the guest check.
How to Create Gift CertificateTOP
Creating a new gift certificate means selling a new gift certificate. To create, go to [Cashier] - [Gift Certificate].
Rxpos certificate page will be automatically created on installing Rxpos. To check, go to [System Environment] - [Online Config], and click [Check] button. Customers can purchase gift certificates in this page.
Gift certificate sales will not be included as sales but it will reflect all payments. CID (Cash In Drawer) will be affected if sales made by cash. Credit total will be affected if sales made by credit card.
On sale of gift certificate either by in-store or online, custimer will see the statement of 'Gift certitificate's balance is not refundable.' However, Rxpos has tools to refund existing balance to cirtificate buyer. Only manger or general manager can refund certificate balance to customer. On balance refund, if certificate was sold by cash, CID will be updated. If sold by credit, amount will be either voided (if not applied yet, and purchase was made on this shift.), or refunded (initial card payment was settled and balance will be refunded to card holder).
How to Accept Gift CertificateTOP
Customer will present QR image of gift certificate. Using phone or mobile device, scan the QR image. Or, from any station, select [Certificate] on payment option window, then scan QR image. Employees will be redirected to the page where can accept gift certificate. Once applied, customer's certificate balance will be reduced as much as the guest check's total amount or the certificate's balance, whichever the lower amount.
How to Void PaymentTOP
Manager, cashier, server can void payment. To void payment, click gray area to display Floor Command. Click [Server] - [Receipt]. You are voiding 'paid' transaction that is why we need [Receipt] window. Search the target receipt by [Prev] or [Next] button, by comparing with table number, time, or GID (Global ID). Once found, click [Void] button.
Once voided, tables order will be live as 'open table'. This is OK as long as no new order was entered. This is reasonable, while the customer is still on the table, you cannot create a new table, and also you are trying to void payment because customer asked to do so.

Using manager's ID, click gray area to display Floor Command. Click [Manager] - [Employee] - [Payroll].
How to Create ScheduleTOP
Using manager's ID, click gray area to display [Floor Command]. Click [Manager] - [Employee] - [Schedule].
Currently working employoees with valid email address and manager will receive schedule by email.
How to Find Online Order LinkTOP
To use automatically created online order page, your business must have a website so your customer can first access. When customer clicks order page linkk, customer will be redirected to Rxpos online order page. Order page will reflect your Rxpos menu and modifiers exactly.
Using manager's ID, click gray area to display Floor Command. Go to [System] - [System Environment]. Select [Online Config] tab. Copy [Order Page Address] and paste to your website.
Make sure to open Database port on your modem if you want to accept online order. Go to your modem, and allow access for database port. For more information, please contact us anytime.
How to Add Menu ImageTOP
Take pictures on menu. You do not have to upload all menu's image. Whenever the image is ready, you can upload.
Using manager's ID, click gray area to display Floor Command. Go to [System] - [System Environment]. Click [Image] button.
Employees using phone or mobile device can display menu image on customer's table. Online order page will display menu image also.
How to Disable Menu ItemTOP
When your product is not available, you can disable target menu item. Both online and in-store application will display 'item is not available.'
Using manager's ID, go to [System] - [System Environment]. Click [Department] button. Menu Manager will be displayed as below.
Select department and menu item. Uncheck [Available] checkbox.
How to Adjust Audio VolumeTOP
Audio volume can be adjusted by aplifier, Rxpos Audio Player, or from any client station. Below is using client station. Manager, cashier, or server can adjust volume.
Click gray area to display [Floor Command]. Click [Station] - [Audio]. Audio volume controller will be displayed as bellow. It may takes up to 30 seconds system to adjust volume because Rxpos is using timer to check this request from the station where the Rxpos Audio Player is running.
How to Search Card ReceiptTOP
In case you need reprint old card receipt other than current shift, go to [Floor Command] - [Server] - [Receipt]. Click [Credit Card] checkbox, and enter last four digits of card number.
If tip was applied to the card payment, it will also be listed with exact day and time. System searchs all credit receipts up to 3 years.
How to Create New Employee InfoTOP
Using manager's ID, go to [System] - [System Environment]. Click [Employee] button. Enter all required information for employee. Some fields are not required. However, phone number and email address will be used to send schedule and payroll report. Wage amount will be used to create payroll. You can use barcoded or QR employee card for employee ID. To enter, just connect scanner to the device to enter. Barcode or QR must contain number only.
How to Share Same DeviceTOP
In case you want to provide tablets or phone devices for your servers, servers will share same devices. Floor page will display who is the current device owner (will be the table owner accepting tip) on the Floor page. If server A was the last person who used the device, server A's name will be listed on floor page. Later server B wants to use the 'same' device, server B will see server A's name on the floor page.
Now, server B can clear 'device owner' from the order page. Server B will enter employee ID to claim as device owner (table owner accepting tip). This process only takes less than 10 seconds. But we recommend using personal phone devices, which always belong to 1 person. Below is the image of clearing device owner.
How to Configure Kitchen MonitorTOP
Kitchen monitor is stand alone application. You can install any Windows tablets in your kitchen. First install Rxpos Kitchen Monitor using Rxpos Web Installer to the target device (tablet). Now, using manager's ID, go to [System] - [System Environment]. Select [Kitchen Monitor] tab.
Select font size based on your device screen size. This will be the default size. When the guest check has many lines of item, kitchen monitor will automaticallly adjust font size to display all lines.
